A York Region Account is a secure user login for accessing applications and services on or through York.ca.
By registering for a York Region Account, a customer profile will be created for you that facilitates access to certain digital applications and services on this website.
Terms of Use
To access and use certain portions of this website through your York Region Account, you must have valid and existing unique identifiers such as an email address and password registered with York Region (collectively “Credentials”).
Credentials are specific to the person for whom they are registered and may not be shared with or transferred to any other person. You must keep Credentials secure and confidential.
You will not permit any other person to know or use Credentials unless you are specifically authorizing them to act on your behalf. You will immediately notify York Region if you know or suspect that Credentials have become known to or used by any other person without your consent, or if you know or suspect of any unauthorized access to your York Region Account.
York Region in its discretion may require you to verify or change Credentials from time to time. York Region may change, suspend or terminate your access to your York Region Account effective immediately at any time and without any prior notice or liability to you or any other person.
Privacy Statement
The Regional Municipality of York (“York Region”) is committed to protecting your personal information. This Privacy Statement describes how York Region collects, uses, discloses and retains your personal information in connection with your York Region digital account.
Please review this Privacy Statement before registering for and using your York Region digital account.
Please note that this Privacy Statement does not explain how York Region collects, uses, discloses and retains personal information in connection with York Region’s other products and services (including York Region’s digital self-service applications and services referenced below). 1. What is a York Region Digital Account?
A York Region digital account is a secure login service that York Region makes available to you for purposes of accessing and using York Region’s digital self-service applications and services. By registering for a York Regional digital account, you will be able to use a single secure login service to access York Region’s digital applications and services and create a customer profile that will enable your use of those digital applications and services.
2. Personal Information
For the purposes of this Privacy Statement, “personal information” refers to any recorded information about an identifiable individual but excludes information that identifies an individual in a business, professional or official capacity.
3. Lawful Authority
York Region collects, uses, discloses and retains your personal information for the purposes set out in this Privacy Statement under the authority of section 11(1) of the Municipal Act, 2001 (Ontario), and in accordance with the Municipal Freedom of Information and Protection of Privacy Act (Ontario).
4. How York Region Collects Personal Information
In most cases, York Region will collect your personal information directly from you. When you register for and use your York Region digital account, you may be asked to voluntarily give your personal information to York Region. You may choose not to provide certain requested personal information, but then you might not be able to use certain features of your York Region digital account or otherwise receive the full benefit of your York Region digital account.
For example, York Region may collect:
- Contact information, such as your name, email address, postal address, phone number and other similar contact data.
- User credentials, such as your username, password, password hints and similar security information used to create your York Region digital account and make the secure login service available to you.
- Information about your interests, preferences and needs, such as your preferred pronouns and accessibility information.
- Usage data, such as the timing, frequency and duration of your use of your York Region digital account.

5. How York Region Uses Personal Information
York Region may use your personal information for various purposes in connection with your York Region digital account and as otherwise permitted or required by applicable law, including:
- to make your York Region digital account available to you and to facilitate your use of York Region’s digital applications and services accessible through your York Region digital account;
- to communicate with you regarding your York Region digital account;
- to maintain, protect and improve the York Region digital account services;
- to anonymize or aggregate your personal information to create de-identified information;
- for other purposes that are described to you at the point of collection or for which you provide your consent.
York Region may share your personal information with its suppliers and service providers to assist York Region in the provision of the York Region digital account services to you, to provide services to York Region, to assist York Region to use your personal information as set out in this Privacy Statement and as otherwise permitted by applicable law.
6. How York Region Discloses Personal Information
- Specific Consents. York Region may disclose your personal information in accordance with express or implied consents that you give during your interactions and transactions with York Region.
- Law Enforcement/Legal Disclosures. York Region may disclose your personal information as required or authorized by applicable law, including to comply with a subpoena, warrant or court or arbitral order or litigation disclosure obligation. York Region may disclose your personal information to law enforcement agencies or other independent organizations if York Region reasonably believes the disclosure is necessary or appropriate in connection with national security, law enforcement or other issues of public importance, or if York Region reasonably believes the disclosure is necessary or appropriate to protect and enforce York Region’s legal rights, interests and remedies or to protect the rights, interests, business, operations or customers of York Region or other persons (including to detect and prevent fraud and other illegal activities, to enforce any of the terms of use, terms of service or other agreements that govern access to or use of any of York Region’s products and services). York Region has no control over, or responsibility or liability for, the use, disclosure or retention of your personal information by the agencies, independent organizations or other persons to whom York Region discloses the information in the foregoing circumstances, and the use, disclosure and retention of the disclosed information by those agencies, independent organizations or other persons is not subject to this Privacy Notice.
7. Protection of Personal Information
York Region uses reasonable safeguards – including administrative, physical and technical security and safeguarding measures – appropriate to the sensitivity of the personal information in York Region’s possession or under York Region’s control to help protect the information from unauthorized access, collection, use, disclosure, deletion or similar risks. Nevertheless, security risks cannot be eliminated and York Region cannot guarantee that your personal information will not be accessed, used, disclosed or deleted in ways not otherwise described in this Privacy Statement.
8. Retention of Personal Information
York Region will retain your personal information for the period reasonably necessary for the purposes set out or referenced in this Privacy Statement and to comply with York Region’s legal obligations or enforce or protect York Region’s legal rights, or a longer period required or permitted by applicable law. York Region will delete or securely dispose of your personal information, or depersonalize the information, when York Region is no longer reasonably required to retain the information for the purposes set out or referenced in this Privacy Statement.
9. Access To and Correction of Personal Information
You may request access to, or correction of, your personal information by contacting Access York in writing using the contact information noted below. Subject to applicable exceptions and limitations prescribed by applicable law, you will be given reasonable access to your personal information and you will be entitled to verify the accuracy and completeness of your personal information and have the information corrected as appropriate.
10. Changes to this Privacy Statement
York Region may change this Privacy Statement from time to time by posting a new version of this Privacy Statement on the York Region website. York Region’s collection, use, disclosure and retention of your personal information will be governed by the version of this Privacy Statement in effect at that time. Accordingly, please check the “Last Updated” date of this Privacy Statement and review any changes since the last version.
